Documenting an equipment installation on a customer site
An installation on a customer site produces two different sets of photographs that people usually try to get from one. The first is a record: proof of the site condition before you arrived, evidence that services were connected as specified, a commissioning trail that protects you if something is disputed eighteen months later. The second is marketing: a handful of frames that show a machine you built running in a real plant. The record set has to be complete and unedited; the marketing set has to be permitted and confidentiality-safe. Shooting them as one undifferentiated pile of phone photos is how integrators end up with 400 images, no usable hero shot, and no proof of the floor damage that was there before the rigger arrived.
Before anything moves: the site-as-found set
The most valuable photographs of an installation are the ones taken before you touch anything. Photograph the floor where the machine will sit, including any existing cracks, spalling or oil staining. Photograph the route in: door widths, corridor corners, floor condition along the path, any overhead services the load will pass under. Photograph the existing services termination points, the panel, the compressed air take-off, the drain, the extraction duct, as you found them.
This set exists to answer disputes. Damage to a customer's floor, a scuffed door frame, a knocked sprinkler head, all become expensive arguments without a dated before image. Take more than feels necessary and take them wide enough that the location is identifiable, because a close-up of a crack with no context proves nothing about where the crack is.
Record the date and, where your process allows, capture the images through whatever system holds your job records rather than on a personal phone. Photos that live only on an engineer's device are functionally lost the moment that engineer changes phone or leaves, and that is exactly when you need them.
A fixed sequence, shot from repeatable positions
Pick two or three camera positions at the start of the job and return to them at each stage. Two corners of the installation area and one straight-on view are usually enough. The result is a set where the machine appears in the same frame at each stage, which reads clearly for a customer, for a commissioning file and for a case study, and it costs nothing extra to do.
Mark the positions with tape or note them against a fixed feature, a column, a door, a floor marking, so the engineer who returns after the weekend stands in the same place. If you shoot the sequence handheld from wherever you happened to be standing, the stages will not line up and the set loses most of its value.
Shoot the same stages on every job, so the file structure is predictable across the business. Standardising this is more useful than any individual photograph, because it means anyone can open an old job folder and find what they need without knowing who shot it.

- Delivery and rigging: crate on the truck, lift plan in use, machine on the move
- Machine positioned: in place, level, on its feet or mounts, before services

- Commissioning: control panel live, parameter screens, calibration or setup work
- First run and first-off part, with the customer's representative present if they agree to appear
- Handover: the finished installation from the original camera positions, area clean
Rigging and lifting: photograph it, do not interfere with it
A lift is the most photogenic part of an installation and the most dangerous. The photographer's job during a lift is to stay entirely outside the exclusion zone, which is not negotiable and is not something a good angle overrides. Agree where you can stand with the lift supervisor before the lift starts, not during it, and accept that the best composition may be inside a zone you cannot enter.
Long lenses and higher positions solve most of this. A frame from a mezzanine, a stairwell landing or a doorway well back from the zone can be more dramatic than a close one, and it does not put anyone at risk or distract the slinger. Never signal, call out or ask anyone to pause or reposition for a photograph while a load is suspended.
Photographs from a lift also become safety evidence, which cuts both ways. If a frame shows someone under a suspended load, standing on a forklift, or working without required protection, you have documented a problem, and publishing it is out of the question. Raise it through the site's process rather than quietly deleting it, and never use editing to add or remove protective equipment, guarding or barriers in a photograph. An image that misrepresents safety conditions is worse than no image at all.
Services, guarding and the frames that matter at sign-off
Commissioning photographs need to show state, not atmosphere. A terminated panel with the gland plate visible and the labelling legible, an air regulator with the set pressure readable, a levelling foot with a shim stack, an interlock switch fitted and wired: these are the frames someone will look at when a question arises. Shoot them square, close, and lit well enough to read.
Photograph what was set as well as what was fitted. A parameter screen, a pressure gauge, an alignment reading on a dial indicator, a torque wrench setting: these capture the values at handover and are far easier to reference than a written note buried in a report. Where a value matters, photograph it and transcribe it into the commissioning document.
The final handover frames should come from the original camera positions with the area tidy, guards on, and everything as the customer will find it on Monday. This is both the closing record and, usually, the source of any marketing image, so it is worth ten minutes of sweeping the floor and coiling loose cable before shooting it.
Permission is a separate job from photography
You are on someone else's premises. Permission to be there to install a machine is not permission to photograph, and permission to photograph for your own records is not permission to publish. These are three distinct things and they need to be agreed separately, ideally in writing, ideally before the job starts rather than after you have a frame you want to use.
Rules around site photography, confidentiality and the use of images of premises and people vary considerably by jurisdiction and by the terms of your contract. Many industrial customers have blanket no-photography policies, some have specific restrictions in hazardous areas, and some will allow record photographs but never publication. Ask the site contact, get it in writing, and take professional advice if a significant contract or a named-customer case study is involved.
Keep the permission record with the images, not in a separate email thread. A folder that contains the photographs and a note of exactly what was agreed, who agreed it, and on what date is what lets a marketing colleague use an image two years later with any confidence at all.
Preparing an installation photo for publication
The record images stay as shot. Marketing images derived from them are a different matter, and the honest way to handle confidential content is to crop or blur rather than to erase. If a competitor's machine, a customer's proprietary tooling or an identifiable operator appears in a frame you want to publish, crop them out of the composition or blur them visibly. Blurring is obviously a modification and a viewer reads it as such; seamlessly painting a machine out of a photograph presents an altered scene as reality.
The edits that are straightforwardly fine on a publication image are the usual ones: correcting the colour cast of the customer's high-bay lighting, lifting shadows so the machine is visible against a dark plant, straightening a frame, and tidying genuine clutter in the background. Never edit a published installation image in a way that changes what was installed. Removing a bracket, a duct, a cable tray or an access platform because it spoils the line of the machine misrepresents the delivered system, and the customer standing next to it every day will notice.

Who owns the photographs taken on a customer site?
Copyright normally sits with whoever took the image, but that is separate from whether you are allowed to use it, which depends on your contract, site rules and any confidentiality terms. Ownership and usage rights vary by jurisdiction. Settle it in the contract before the job rather than arguing about it afterwards, and take legal advice for anything significant.
Can we publish a case study without naming the customer?
Anonymising helps but does not always solve it. A distinctive building, a visible product or a recognisable process can identify a customer just as effectively as a name, and some agreements restrict depicting the site at all. Get written agreement on exactly what may be shown, not just on what may be named.
How many photos should an installation record contain?
More than feels necessary at the time. Storage is cheap and the cost of a missing before image during a damage dispute is not. What matters more than volume is structure: a fixed stage list, consistent camera positions and predictable file naming so someone else can navigate the folder.
Is it acceptable to add PPE to a photo where someone forgot it?
No. Editing protective equipment or guarding into or out of a photograph misrepresents the safety conditions on site, and the image may later be relied on as a record. If a frame shows a safety failing, deal with the failing through the site's process and do not use the image.
